For HVAC shops
The no-cool call hit voicemail. The next company texted back.
We install one job around how you already dispatch: missed-call text-back, first reply with your service area, or follow-up on quotes that never got a yes. You stay in a shared chat. Friday you see what it handled.
The problem
A no-cool call at 8pm goes to voicemail because you are on a rooftop. The homeowner texts the company that answered. Tuesday's changeout quote sits in ServiceTitan with no second touch. The person who knows which zips you actually run is you.
How we work
Step 1
Name the leak
After-hours no-cool, sitting changeout quotes, or trucks sent on a maybe. We pick one job, not a full AI overhaul.
Step 2
Write your rules
Service area, after-hours vs on-call, what you will not price from a photo. Unknowns stay unknown. No invented availability.
Step 3
Install and coach
We stand it up, stay in a shared chat, and send a Friday report: replies sent, quotes touched, hours back.
Calls we handle
- Missed call. No-cool at 8:40pm. Text asks zip, system age, and whether anyone is home. Hot jobs go to you. The rest wait for morning dispatch.
- Web form. 3-ton changeout request. Reply uses your service area and says you do not price from photos. Offers an inspection window you actually run.
- Sitting quote. Estimate sent Tuesday, no yes. Thursday ping names the equipment on the quote and asks if they want the install window or to close the file.
Questions
- Will this answer after-hours no-cool calls?
- The first job is usually a text-back that captures zip, symptoms, and whether someone is home, then routes true emergencies to you. It does not invent on-call coverage you do not have.
- Do I have to become the AI person?
- No. We stay in a shared chat with you and the employee. You watch how we assign work, then you take over in plain language. We handle uptime.
- Do we need ServiceTitan first?
- No. Spreadsheet, inbox, or a CRM you barely open is fine. We map what you actually use on the call.
- How is this different from a chatbot on the website?
- A chatbot guesses. This job uses your prices, zips, and exceptions. You approve the rules. We install, monitor, and report on Friday.
