The problem
The tech is in the pit. The office phone rings. A driver wants to know if they can drop a car that is not drivable. At 9pm someone emails a Carfax PDF and wants a number. Friday's parts came in and the customer never picked a day because the advisor was writing ROs.
How we work
Step 1
Name the leak
Rings nobody can leave the bay for, after-hours PDFs that should not get a price, or parts on the shelf with no drop-off on the board.
Step 2
Write drop-off rules
What you need (year, make, model, drivable or not), loaner policy, what you will not quote from a printout. Unknowns go to the advisor.
Step 3
Install the desk
Shared chat with the owner or service advisor. Friday: recovered calls, scheduled comebacks, hours back.
Calls we handle
- Missed call. You are in the pit. Text asks year, make, model, and whether the car is drivable. No invented wait times. Hot tows follow your tow path.
- After hours. Carfax dump at 9pm. Reply: we look at the car in person. Here is tomorrow's drop-off window. No price from a printout.
- Parts arrived. Parts hit the shelf Friday. Monday text: they are here, which day can they leave the car. Not a generic we are following up.
Questions
- Will it quote from a Carfax?
- No, unless you explicitly allow a range. Default is drop-off and inspect. The message can say that in your words.
- Do I have to become the AI person?
- No. The advisor watches us in a shared chat, then takes over in plain language. We own uptime.
- Can it talk to the shop management system?
- If the connection is clean, yes. If the board is a whiteboard, we still start with the phone and texts you already miss.
- What about warranties and comebacks?
- Comeback and warranty paths only if you write them. We will not invent a policy that gets you in trouble.
